Who sets up and cleans up wedding decor? A handoff checklist for couples
Avoid a last-minute wedding cleanup scramble with a task-by-task plan for decor setup, venue access, packing, loading, and vendor returns.

1. Ask what setup and cleanup actually include
“Setup included” can mean arranging the venue’s furniture, placing a florist’s own arrangements, or putting out your personal decor. Those are different tasks. Ask each provider to list what they handle and what they leave to you. The same applies to cleanup: clearing catering equipment does not automatically include packing your frames.
Use concrete questions: Who places the table numbers? Who removes the welcome sign? Who boxes the vases? Who loads the boxes into the vehicle? Check the answers against your agreed service scope and resolve gaps before the event.
2. Work backward from venue access times
Record when deliveries can arrive, when decorating can start, when guests enter, and when everything must be out. Ask whether next-day collection is actually available; do not assume an empty venue means your boxes can stay overnight. Include the route to loading areas and any access restrictions.
Build a schedule that allows each task to finish before the next begins. If the same person is moving ceremony pieces and receiving a rental delivery, decide which task takes priority and assign help. Confirm installation responsibilities with the vendor and venue rather than delegating unfamiliar equipment to a guest.
3. Make one handoff row per decor group
A useful row says: “Welcome sign and easel; foyer; setup by Alex at 2 p.m.; pack by Morgan after guest departure; goes to car A.” Add a photo of the intended placement and the box reference. Make the sheet accessible to the people doing the work, not only to the couple.
For rented or borrowed pieces, name the owner and return destination. Mark objects that should not be given to guests. If guests may take flowers, confirm which containers are included; the floral arrangement and its rental vessel may have different owners.
- Decor group, quantity, box label, and placement photo
- Setup owner, access time, and completion time
- Cleanup owner, packing materials, and removal deadline
- Vehicle or vendor destination and a contact for questions
4. Ask helpers for a defined commitment
If friends or family are helping, ask them in advance and describe the task, timing, and physical requirements. “Could you load these four boxes at 10:45?” is more actionable than “Can you help at the end?” Let people decline so you can arrange another plan.
Confirm who will be available and able to drive when needed. A person giving a toast, helping with photographs, or leaving early cannot cover every handoff. For work beyond what your helpers can realistically handle, ask vendors about adding an agreed service or arranging a separate crew.
5. Prepare for packing before the room is decorated
Keep labeled empty boxes and protective materials somewhere accessible. Separate returns, keepsakes, and items you own for resale. Include item counts so the packing team can spot a missing stand before the vehicle leaves. Avoid a single unmarked pile where vendor property and your purchases become indistinguishable.
Use a short departure checklist: collect personal items, count returns, check packing groups, confirm loading, and follow the venue’s agreed sign-out process. Food service cleanup and waste handling should have their own named owners rather than being silently folded into the decor task.
6. Hand over the post-wedding tasks too
Write down who holds the boxes after the event and when borrowed or rented pieces are due back. If you leave for a honeymoon, the temporary storage and return plan should not depend on you answering messages immediately.
For decor you own, a clean pack-out preserves the information needed to resell: usable count, dimensions, accessories, and current condition. After checking the pieces, you can turn a labeled group into a Dearly Found listing instead of reopening every mystery box.
Frequently asked questions
- Does a day-of coordinator clean up wedding decorations?
- Only if those tasks are included in the agreed service scope. Confirm packing, loading, rental returns, and the time the team leaves separately.
- Does the venue remove personal wedding decor?
- Ask the venue directly. Confirm which objects they handle, where anything they pack will be stored, and when your own items must leave.
- What should go in a wedding decor handoff sheet?
- Include the item group, quantity, placement, setup and cleanup owners, timing, packing instructions, and final destination. Add a photo and box label where useful.
